Junior Personal Assistant

The Roald Dahl Story Company Ltd manages the stories of Roald Dahl, across a number of channels including book, theatre, movies, TV marketing, brand partnerships and merchandise.

Salary: Circa. £26,000 - £28,000 (depending on experience)
Contract: 6-month fixed-term contract with scope to go permanent  
Working pattern: Monday to Friday, 9.30 to 18.00

The purpose of the Personal Assistant role is to support the company’s Brand Director who heads up the senior leadership team. The Personal Assistant therefore has a pivotal part in supporting not only the Brand Director but also their management of the total leadership team.

The Personal Assistant supports the smooth-running of the Brand Director’s schedule, contact with key stakeholders and partners, management of internal meetings, cross-business communication and some external business communications. The successful candidate must have excellent interpersonal and organisation skills in addition to knowledge and experience of the entertainment and brand industry such that they can support on related admin tasks as needed.

You’ll be responsible for:

  • Smooth management of the Brand Director’s diary and appointments
  • Organising internal and external meetings and teleconferences (taking into account time zone differences where required)
  • Taking minutes from key meetings and cascading to relevant people. In some cases, tracking action points and ensuring timely follow-up (in collaboration with the Brand Director)
  • Organising regular meetings with the Brand Director’s direct reports. Playing a role in supporting related admin and scheduling meetings such as performance reviews
  • Acting as a secondary point of contact to the business/ leadership team for the Brand Director i.e. collecting messages and requests for meetings
  • Approving annual leave requests for the Brand Director’s direct reports
  • Supporting communication from the Brand Director to:
    • The internal leadership team and to the wider business as needed
    • Key external stakeholders and partners
    • Supporting desk-research related to the Brand Director’s key projects
    • Supporting the Brand Director on presentation creation and other preparation for both internal and external meetings  
    • Booking travel and accommodation for the Brand Director
    • Preparing and/or drafting correspondence for the Brand Director, as required
    • Providing ad hoc support on projects as required
    • Such other duties and responsibilities as we may notify you of from time to time

We’d love to hear from you if you have:

  • Demonstrable experience in Personal Assistant roles (ideally with a wider team support component)
  • Knowledge and experience within the entertainment and brand industry
  • Strong organisational skills with the ability to multi-task and work extremely well under pressure
  • The ability to work on your own initiative
  • Strong knowledge of Microsoft Office 365, the full Microsoft Office Suite (inc. PowerPoint and Excel), Apple Keynote and use of Apple hardware
  • Strong written and verbal communication skills
  • Strong interpersonal and communication skills (written and verbal)
  • Excellent time management
  • Excellent copywriting skills
  • The ability to maintain high standards of accuracy and efficiency
  • Flexibility and adaptability to carry out some work in the evenings (on occasion)
